A gated community access control system is the most used piece of security infrastructure on your property. Residents interact with it multiple times a day. Every visitor, vendor, delivery driver, and service contractor passes through it. When it works, nobody notices. When it breaks, fails during an outage, or lets in someone who shouldn’t be there, it becomes the only thing the board talks about for the next three meetings.
The market in 2026 offers more options than most HOA boards and property managers realize — and they are not equivalent. A legacy telephone call box and a cloud-managed hybrid QR platform are both technically "gated community entry systems," but the operational reality, the five-year cost, and the resident experience are completely different.
This guide covers all six system types in use today. For each one: how it works, what it actually costs, where it earns its keep, and where it falls apart. We’ll also cover what’s different about gated communities in Puerto Rico, the Caribbean, and bilingual markets — because most guides are written for a buyer profile that doesn’t reflect the realities of those markets.
Gated vs. apartment access` — heading: `What makes gated community entry different from apartment access control
Before the comparison, one framing point that matters for everything that follows.
An apartment building access control problem is fundamentally a single-door problem. One lobby. One panel. One subscription. The cost model is simple.
A gated community entry problem is a multi-point problem. A typical gated community has a main vehicle gate, a pedestrian entrance, a guard booth or guardhouse, a rear service gate, and possibly an amenity building or parking structure. Every system choice you make applies at all of those points simultaneously. A system that costs $1,500 per gate becomes $6,000–$10,000 before installation begins. A system that requires a panel at every point compounds hardware and maintenance costs across the life of the property.
The second distinction is the resident profile. Gated community residents include families, retirees, part-time owners, vacation renters, and Spanish-speaking households. A system designed for a 30-year-old smartphone native in a Brickell high-rise is not the same product as a system that works reliably for a 72-year-old homeowner in a Guaynabo urbanización who may or may not have the latest iPhone.
Keep both of these in mind as you read through the six options.
1. Legacy call box (telephone entry system)
A panel at the gate contains a directory of resident names and unit numbers. A visitor scrolls or types to find the resident, presses call, and the panel dials the resident’s phone number — historically a landline, now typically a cell number. The resident hears the call, talks to the visitor, and presses a digit to send a tone that opens the gate. No app required for residents or visitors. This is the system most gated communities in Puerto Rico, Florida, and the Caribbean installed 15–25 years ago and still run today.
Low upfront software cost. No per-unit subscription. Works without internet — calls route through the telephone network, not the cloud. Familiar to residents who have used it for years. Visitors need nothing — just a finger and a phone number.
The resident has to answer. If they’re driving, sleeping, at work, or away for the winter, the visitor is stuck at the gate. There is no audit trail and no visitor management. As of March 2026, the FCC removed federal approval requirements for carriers retiring copper infrastructure, leaving only a 90-day customer notice before disconnection — POTS call boxes are no longer a sound long-term investment. In Puerto Rico specifically, POTS reliability after major weather events is poor: a copper-routed call box can be out for days or weeks following a hurricane.
2. Keypad & key fob
Residents receive a physical key fob (RFID or RF clicker remote) and/or a PIN code to enter at a keypad. The gate opens when the credential is presented. Visitors have no independent entry method — they either get the shared code, call a resident, or wait for a guard. This is the access model for resident entry. It does not solve visitor management — it assumes the visitor problem is handled separately.
No per-unit software subscription. Works offline. Simple for residents to understand. Fobs work for residents who won’t use a smartphone app.
Fobs get lost, loaned, and cloned. Shared PIN codes are community knowledge within six months on any active property. When a resident moves out, every credential they held keeps working until someone manually removes it. There is no visitor management and no per-entry audit trail. The administrative burden on a 100-unit community is significant: hours each month issuing new fobs, deactivating lost ones, rekeying codes after an incident, and handling visitor complaints.
3. Cloud-managed video intercom
A video intercom panel with a camera, microphone, and touchscreen mounts at each entry point. When a visitor arrives, they select a unit number. The panel places a live video call to the resident’s smartphone app. The resident sees the visitor, speaks to them, and taps to unlock. Entries are logged in a cloud dashboard. This is the category ButterflyMX dominates — where Swiftlane, 2N, DoorBird, and others also compete.
Live visual verification of unknown visitors is the strongest security feature available without a guard. The resident sees who is at the gate before opening it — something no other system type provides at the moment of entry. The admin dashboard is typically well-built, access logs include video clips, and property-management integrations are mature. For a single-entrance property with engaged, app-active residents, it’s a premium product.
The resident has to answer, and app adoption is rarely 100% — on a 150-unit gated community in Puerto Rico with a mixed age profile, 60–75% active app use is realistic, meaning 25–40% of visitors still create friction. Cloud dependency means the gate is down when internet is down — a regular occurrence during hurricane season. The per-unit subscription scales with unit count, not gate count, so a 200-unit community pays 4× a 50-unit community for the same panels. And the dominant platforms (ButterflyMX, Swiftlane) have no native Spanish interface.
4. License plate recognition (LPR)
Cameras mounted at the gate read vehicle license plates as they approach. The plate is checked against a database of registered resident and authorized visitor vehicles. Authorized plates trigger automatic gate opening — no action required from the resident or driver. Unrecognized plates trigger an alert, a guard call, or a video intercom panel depending on configuration.
Zero friction for registered residents. Drive up, gate opens — no fob, no phone, no tap. At a high-volume vehicle gate where car stacking and wait times are a problem, LPR is the most effective throughput solution available. It also eliminates lost fobs and forgotten codes entirely for the resident entry use case.
It only solves the registered-resident entry problem. Visitors, vendors, and anyone with an unregistered plate still need a secondary system — LPR is almost always a complement, not a standalone solution. Database maintenance is a real, ongoing operational burden. Accuracy degrades in poor lighting, dirty plates, rain, and at certain angles — the sun, humidity, and salt air of the Caribbean demand ongoing camera maintenance. And LPR raises data-retention and privacy questions boards should settle in writing before installation.
5. QR entry (credential-based, hardware-light)
Property managers issue time-bound QR codes from a dashboard ( QR code access control ). Visitors receive a code by WhatsApp, SMS, or email before they arrive. At the gate, they scan a QR sign or QR panel — no app download, no video call, no wait. The gate opens and the entry is logged. At a primary entrance where video verification matters, a QR panel combines the scan with a camera and intercom. At secondary gates and amenity buildings, a weatherproof QR sign on a post does the job — no wiring, no panel, no per-point hardware cost. Vendors receive recurring scheduled credentials that work only during authorized windows.
The authorization decision happens when the code is issued, not when someone is standing at the gate. Residents don’t need to answer anything. The hardware cost advantage at secondary gates is the biggest structural win — a printed QR sign costs a fraction of a wired panel, with no new conduit, power, or per-point maintenance; on a four-point community, replacing three secondary panels with QR signs can save $4,500 – $12,000 upfront. QR credentials cache locally, so the gate works during internet outages. And platforms built for the Caribbean (Vivo Control) deliver the whole experience in native Spanish and English
QR-only at a main vehicle gate doesn’t provide face-to-face visual verification of unknown visitors. If the board specifically wants residents to see who is at the gate before opening for unknown callers, a QR sign alone doesn’t deliver that — which is why most gated communities pair QR at secondary points with a video panel at the main gate (see Option 6).
6. Hybrid platform (QR + video intercom, one system)
A hybrid entry deployment puts a video intercom panel at the main vehicle gate or primary pedestrian entrance for unknown visitors who need resident verification. Secondary gates, service entrances, and amenity buildings use QR plaques or QR panels. Everything — every entry event, every credential, every access log — runs through one platform and one dashboard. Residents use one app. Vendors receive one type of credential. The board reviews one system at renewal time.
Video intercom where it adds the most value — at the primary entrance where unknown visitors arrive. QR everywhere else — secondary gates, vendor access, amenity entry — where pre-authorized credentials are faster and cheaper. One platform, one audit log, one resident app, one vendor, one invoice. Versus full video intercom at all four points ($52,000 – $78,000), the hybrid model saves $14,000 – $40,000 over five years on a 100-unit community while providing better multi-point coverage, offline resilience at QR points, and a bilingual resident experience.
It requires choosing a platform that genuinely runs both technologies well. Some vendors offer video intercom or QR — not both on one dashboard. The hybrid model only delivers its full benefit when both modes are managed in one system, not two separate vendor relationships bolted together.
