Vivo Control, Inc. ("Vivo Control," "we," "us," or "our") provides community access-control technology — video intercom, mobile and QR access, license-plate recognition, CCTV, and resident communications — to multifamily buildings, HOAs, and gated communities. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to our website, resident and administrator apps, and the hardware and cloud services we operate.
1. Information we collect
Information you provide
Contact and account details you submit through our website forms, demo and quote requests, or during onboarding — such as your name, email, phone number, company or property name, and the details of your inquiry.
Property and resident data
When a community deploys Vivo Control, administrators configure property details, units, access points, and resident or guest records (names, unit numbers, contact details, and access credentials). This data is processed on behalf of the property under our agreement with them.
Access and activity data
Our platform records access events — for example, when a door or gate is opened, by which credential, and when. These logs are used to operate the system, provide audit trails to property administrators, and support security.
Video and CCTV footage
Where a community uses our video intercom or CCTV features, the system processes video and images at entry points and camera locations configured by the property.
No biometric collection
Vivo Control does not use facial recognition and does not collect or store biometric identifiers from residents or visitors. Access is credential-based (mobile, QR, PIN, or physical credential).
Device and usage data
When you use our website or apps, we automatically collect technical data such as IP address, device and browser type, pages viewed, and similar diagnostics, using cookies and comparable technologies.
2. How we use information
We use information to: provide, operate, and secure the platform and hardware; respond to demo, quote, and support requests; onboard communities and residents; communicate service, security, and account notices; improve our products and website; and comply with legal obligations.
For property and resident data, Vivo Control acts as a service provider / processor on behalf of the community (the controller). We process that data according to the property’s instructions and our service agreement.
3. How we share information
Certified dealers
When you request a quote or demo, we may share your request with the certified Vivo Control dealer serving your area so they can scope and respond. Dealers are contractually bound to use your information only for that purpose.
Service providers
We use vetted vendors for hosting, communications, analytics, and payment processing. They may access information only as needed to perform services for us and are bound by confidentiality and data-protection obligations.
Legal and safety
We may disclose information to comply with law, enforce our agreements, or protect the rights, property, and safety of Vivo Control, our customers, residents, or the public.
We do not sell your personal information.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
4. Data retention
We retain information for as long as needed to provide the service, meet the retention settings configured by the property, comply with legal obligations, resolve disputes, and enforce our agreements. Access logs and video footage retention periods are configurable by each community and subject to our agreement with them.
5. Security
We apply administrative, technical, and physical safeguards designed to protect information — including encryption in transit, access controls, signed firmware, and audit logging. No method of transmission or storage is completely secure, but we work continuously to protect the data in our care.
6. Your privacy rights
Depending on where you live — including residents of Puerto Rico, Florida, Texas, New York, and other U.S. jurisdictions — you may have rights to access, correct, delete, or port your personal information, and to opt out of certain processing.
If your data was provided to Vivo Control by a community (for example, your HOA or property manager), please direct rights requests to that community as the controller; we will support them in responding. For information you provided to us directly, contact us using the details below.
7. Cookies & analytics
Our website uses cookies and similar technologies to keep the site working, remember preferences, and understand usage. You can control cookies through your browser settings; disabling some cookies may affect site functionality.
8. Children's privacy
Our website and services are intended for businesses and adults. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will take appropriate steps.
9. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, provide additional notice.
